Our work

Real projects with measurable outcomes.

Every project starts with a real problem and ends with software people actually use. Here are three recent engagements that show how we work.

Fleet Management

Northgate Fleet Services

Northgate Fleet Services project visual showing interface fragments and data elements

The Challenge

Northgate Fleet Services managed a growing fleet of service vehicles across multiple regions, but their dispatch and maintenance tracking lived in disconnected spreadsheets and legacy software. Dispatchers spent hours reconciling daily job records, and maintenance teams struggled to track vehicle service history. The operations team needed a unified platform that could handle real-time dispatch, maintenance scheduling, and reporting in one place.

Our Approach

We started with three weeks of discovery, shadowing dispatchers and mechanics to understand their actual workflows. We mapped the information flows between dispatch, maintenance, and management, then designed a unified platform with role-specific interfaces. We built the system incrementally, starting with core dispatch functionality and layering in maintenance tracking and reporting over six months of focused development.

What We Delivered

  • Unified dispatch and maintenance platform
  • Real-time vehicle tracking dashboard
  • Maintenance scheduling and history tracking
  • Role-based interfaces for dispatchers, mechanics, and managers
  • Automated reporting and compliance documentation
  • Integration with existing GPS tracking systems

"Hearthline Studio understood our operations better than we expected. They did not just build what we asked for — they helped us see what we actually needed. The platform has transformed how our team works."

Public Programs

Civicwell Benefits Network

Civicwell Benefits Network project visual showing interface fragments and data elements

The Challenge

Civicwell Benefits Network administered public assistance programs across multiple counties, but their application process was confusing for applicants and error-prone for case workers. Incomplete applications created back-and-forth delays, and the case management interface made it difficult to track application status and communicate with applicants. They needed a plain-language portal that would guide applicants through eligibility requirements and streamline case management.

Our Approach

We conducted user research with both applicants and case workers, discovering that many applicants abandoned the process because the language was confusing and the requirements were unclear. We redesigned the application flow with plain language, progressive disclosure, and clear guidance at each step. We built a case management portal that gave workers a complete view of each application, automated status updates, and made it easy to request additional information.

What We Delivered

  • Plain-language eligibility portal
  • Guided application flow with progress tracking
  • Case management dashboard for workers
  • Automated status notifications
  • Document upload and verification system
  • Accessibility-first design meeting WCAG 2.1 AA standards

"The new portal has made a real difference for both our applicants and our staff. People understand what they need to do, and our case workers can focus on helping instead of chasing missing information."

B2B Operations

Ridgeway Supply Co.

Ridgeway Supply Co. project visual showing interface fragments and data elements

The Challenge

Ridgeway Supply Co. served hundreds of business customers who ordered supplies regularly, but the ordering process relied on phone calls, emails, and faxed purchase orders. Customer service teams spent most of their time answering order-status questions and manually entering orders into their system. They needed a B2B ordering platform that would give customers visibility into inventory, pricing, and order status while reducing the operational burden on their team.

Our Approach

We worked with Ridgeway to understand their customers ordering patterns and pain points. We designed a self-service portal that integrated with their existing inventory and pricing systems, giving customers real-time visibility into stock levels, order history, and delivery status. We built the platform incrementally, starting with core ordering functionality and adding features like saved orders, reorder lists, and bulk ordering over four months.

What We Delivered

  • B2B ordering portal with real-time inventory
  • Customer account and order history dashboard
  • Saved orders and reorder lists
  • Bulk ordering and approval workflows
  • Integration with existing inventory and ERP systems
  • Order status tracking and delivery notifications
38%

52%

28%

"Our customers love having visibility into their orders, and our team can finally focus on growing the business instead of answering the same questions all day. Hearthline Studio delivered exactly what we needed."
